License Agreement Cancellation Process

License Agreement Cancellation BEFORE Cancellation Deadline

This section applies to students who cancel 30-days prior to the contract start date.

  • 2017-2018 Academic Year License Agreement Cancellation Deadline: July 25, 2017
  • Spring 2018 Only License Agreement Cancellation Deadline:  December 15, 2017

Students may cancel their License Agreement by the posted cancellation deadline for the applicable contract period (30-days prior to move-in). Regardless of when students cancel, the initial payment of $375 is non-refundable.

To cancel by the cancellation deadline, please complete the following steps.

Licensee (student) must write a letter requesting to cancel their License Agreement. The letter must include the following information:

  • Licensee's Name
  • SDSU Red Id number
  • Licensee's Signature
  • Date
  • Brief explanation regarding cancellation

Cancellation letters may be e-mailed from student's registered WebPortal e-mail address or mailed to:

Please note, the cancellation letter must be postmarked or emailed no later than the cancellation deadline. It is the student's responsibility to contact the Office of Housing Administration to ensure the cancellation notice is received by the deadline. 


License Agreement Cancellation AFTER Cancellation Deadline

This section applies to students who cancel after the posted cancellation deadline for the applicable License Agreement period.

Matriculating students who cancel their License Agreement after the cancellation deadline are charged the End-of-Contract Fee, and $25 meal plan cancellation fee, if applicable. The End-of-Contract Fee is determined by the student's room assignment and remaining contract days on the date the student vacates their space or based on the date the student's cancellation letter is received, if the student has not moved-in.

This is a sample of the maximum applicable cancellation fees* for a cancellation at the beginning of the fall 2017 semester:

Students who withdraw from the university and cancel their license agreements after the postponed cancellation deadline are assessed any applicable rent charges and a 30-day cancellation charge, and $25 meal plan cancellation fee, if applicable.

Contract Release Request

Students who want to cancel their License Agreement after the cancellation deadline and have circumstances that meet the contract release request criteria may submit a contract release request for review.

Submitting a contract release request does not automatically cancel the License Agreement. Instead, the student is seeking approved release from the License Agreement, at the discretion of the university based on the submitted criteria.

Contract Release Request Criteria

  • Student is withdrawing from San Diego State University
  • Student has a financial hardship (see below)
  • Student has a medical hardship (see below)
  • Student is required by declared major or minor to study abroad or complete an internship
  • Student is on a one semester exchange program
  • Student is graduating during contract period
  • Student is deployed for active military duty
  • Student is signing a lease with Montage on College (2nd year live-on requirement only)
  • Student is applying to live in Greek Housing (2nd year live-on requirement only)

Financial Hardship

Request must include verification appropriate to the circumstance and must demonstrate a loss of income that has occurred after the cancellation deadline (on or after Tuesday, July 25, 2017 for the academic year, and on or after Friday, December 15, 2017 for new residents entering for the spring 2018 semester). Licensee must submit copy of current academic year financial aid award summary for evaluation.

Medical Hardship

Students requesting release because of medical hardship must register and meet with Student Disability Services (SDS). SDS will request appropriate medical documentation, including a description of diagnosis provided by a licensed physician. The letter must be on the physician's letterhead and must include a statement of how living on campus is related to the illness and the Licensee's treatment.

Montage on College

Students who are interested in fulfilling their second year live-on requirement as a sophomore by living at Montage on College may select this option for contract release consideration. The Contract Release Request form must be submitted no later than February 15, 2018. Once the contract release request is submitted you will receive decision letter. If approved, your release will be contingent on the receipt of a fully executed lease with Montage on College. Licensee must submit a copy of the signed lease within seven days of the decision letter. If a copy of the lease is not received, the contract release request will be revoked and the two-year License Agreement will remain in effect.

By submitting a contract release request for this criteria, you are officially requesting to cancel your Student Housing License Agreement for the next academic year, if approved. Do not sign any other lease until you have received a contract release approval letter.

Greek Housing

Students who are interested in fulfilling their second year live-on requirement as a sophomore by living in an affiliated Greek Chapter House may select this option for contract release via the Letter of Intent: Sophomore Success Program and Fraternity and Sorority Housing submitted to the Alumni/ae Advisor of the Greek Organization.
 
For eligibility consideration, the Letter of Intent accompanied by the Greek Housing Contract Release Request form must be submitted no later than January 30, 2018. Submitting a Letter of Intent and contract release request for Greek Housing does not guarantee an approved contract release request. If the request is denied, the two-year License Agreement will remain in effect. 
 
By submitting a Letter of Intent and Greek Housing Contract Release Request for this criteria, you are officially requesting to cancel your Student Housing License Agreement for the next academic year, if approved. Do not sign any other lease until you have received a contract release approval letter.
