Cancellation Charges

The License Agreement is for a full academic year (or full spring semester for new students entering spring). You will incur costs for canceling prior to the end of your License Agreement period (refer to the Terms and Conditions of your Student Housing License Agreement). For more information about canceling the License Agreement or to request a contract release, see the How to Cancel page and the Contract Release Request page.

Students on the 2011/12 waiting list, may cancel their License Agreement at anytime prior to accepting an assignment without incurring cancellation charges. The $800 initial payment will be refunded. Each licensee on the waiting list who wishes to cancel must follow the instructions for cancellation on the How to Cancel page and the Contract Release Request page.

2012-13 Cancellation

The final date to cancel a License Agreement without additional rent charges is July 24, 2012 (December 16, 2012 for new students entering for the spring 2013).

Cancellation Before Occupancy

  • The occupancy period begins Friday, August 24, 2012 for the academic year and Wednesday, January 16, 2013 for new students entering for the spring semester.
  • Licensee may cancel a reservation for a space in the facility by giving written notice to the Office of Housing Administration at least thirty (30) days before the beginning of the occupancy period (on or before Tuesday, July 24, 2012, for the academic year and on or before Sunday, December 16, 2012 for new students entering for the spring semester.).
  • A written request to cancel a reservation less than thirty (30) days before the beginning of the occupancy period shall include Licensee’s statement of reasons. The University may exercise its discretion to grant or deny the request. The University may deny the request for cancellation, wherein the Licensee shall owe the full fee period of the license (academic year), any charges for damages and cleaning, and all nonrefundable fees as described in the Payment Information.
  • If Licensee requests cancellation less than thirty (30) days before the beginning of the occupancy period and withdraws or does not enroll at the University, there will be a 30-Day rent charge from the beginning of the occupancy period, plus all nonrefundable fees as described in the Payment Information.
  • A contract release request will be considered for financial hardship or illness and must include the following.
    • Financial Hardship: Verification appropriate to a significant change in circumstance and that has occurred since the cancellation deadline.
    • Illness: Appropriate medical documentation including a description of diagnosis provided by a licensed physician. The letter must be typed (not hand written) on the physician’s letterhead stationery and must include a statement of how living in the residence halls is related to the illness and the Licensee’s treatment. Request for release due to pre-existing environmental allergies, asthma, ADD, ADHD, social phobia, eating disorders or other health conditions that might be affected by group living will not be considered (refer to Terms & Conditions, Section 6.h).
  • If Licensee cancels a reservation for a space after the cancellation deadline listed in section 9.a. above and the Licensee decides to withdraw from the University, but and instead chooses to take a Leave of Absence from the University, even thou the Licensee will not be attending the remainder of a semester or subsequent semester and the Licensee is still eligible to return to SDSU in subsequent semesters, Licensee is considered as still attending SDSU. Therefore, the Licensee will owe the amount due under the full fee period of the license. (See Policies & Regulations, Leaves of Absences.) The Licensee’s attendance status with the University will be verified and if the Licensee is enrolled in classes on the last day to drop/add classes during the remainder of a semester or subsequent semester within the licensing term or on a Leave of Absence, the Licensee’s account will be adjusted. The Licensee will owe the amount due under the full fee period of the license.
  • In any case, housing charges will be prorated if a replacement acceptable to the University is found. All empty spaces within all facilities will be filled before any resident’s license can be replaced.

Cancellation After the Beginning of the Occupancy Period

  • Each Licensee’s agreement is for a full academic year (or full spring semester for new students entering spring.). (See Terms & Conditions, Term.)
  • A written request to cancel a reservation less than thirty (30) days before the beginning of the occupancy period (on or before Tuesday, July 24, 2012, for the academic year and on or before Sunday, December 16, 2012 for new students entering for the spring semester.) shall include Licensee’s statement of reasons. The University may exercise its discretion to grant or deny the request. The University may deny the request for cancellation, wherein the Licensee shall owe the full fee period of the license (academic year), any charges for damages and cleaning, all nonrefundable fees as described in the Payment Information and a $50 cancellation fee.
  • Any Licensee who requests to vacate the housing facility, after the beginning of the occupancy period, shall give at least thirty (30) days written notice, of intention to vacate and shall include Licensee’s statement of reasons. The University may exercise its discretion to grant or deny a request to vacate. The University may deny the request for cancellation, wherein the Licensee shall owe the full fee period of the license (academic year), any charges for damages and cleaning, all nonrefundable fees as described in the Payment Information and a $50 cancellation fee.

Therefore, the Licensee will owe the amount due under the full fee period of the license. (See Policies & Regulations, Leaves of Absences.). The Licensee’s attendance status with the University will be verified and if the Licensee is enrolled in classes on the last day to drop/add classes during the remainder of a semester or subsequent semester within the licensing term or on a Leave of Absence, the Licensee’s account will be adjusted. The Licensee will owe the amount due under the full fee period of the license.
  • If the Licensee is evicted from University housing, voluntarily leaves University housing or is suspended from the University, Licensee shall owe the full fee period of the license (academic year), any charges for damages and cleaning, all nonrefundable fees as described in the Payment Information and a $50 cancellation fee. (See Terms & Conditions, Revocation of License Agreement and Policies and Procedures, Eviction and/or Suspension.)
  • For Licensee who withdraws or does not enroll at the University and subsequent revocation of the License Agreement, there will be a 30-Day rent charge starting from the date of when the Licensee vacates the facility, all nonrefundable fees as described in the Payment Information and a $50 cancellation fee.
  • In any case, the charges will be prorated if a replacement acceptable to the University is found. All empty spaces within all facilities will be filled before any resident’s license can be replaced.
  • Failure to receive an assignment electronically or by mail is not cause to cancel the License Agreement.
